Capturing & Managing Inquiries

Convert your storefront visitors into active leads and seamlessly track them through to closure.

Step-by-Step Guide

1

Where Inquiries Come From

Whenever a potential customer visits your Public Storefront and clicks the 'Inquire Now' button, they are prompted to fill out a lead form. This form captures their Name, Phone Number, Email, and a detailed description of what they are looking for (e.g. 'Looking for a 14-day Umrah package for a family of 4').

2

Locating New Leads in Your Dashboard

As soon as a customer submits the form, the lead is instantly securely routed to your agency. To view it, log into your account and navigate to Dashboard > Inquiries on the left sidebar. Here, you will see a real-time, consolidated list of all incoming leads across your entire agency.

Tip: By default, the table will show you 'Open' inquiries so you can focus entirely on leads that need immediate attention.
3

Responding to the Customer

Click on any inquiry row to expand it and read the customer's full message. You will see their exact contact details. Your team's next step is to manually contact the customer using these details—either by calling them directly on the phone number provided, starting a WhatsApp chat, or sending an email. TravelOnClick provides you the data instantly so you can be the first agency to reach out to them!

4

Closing the Inquiry

Once an agent has successfully contacted the customer and either converted them into a booking or determined the lead is dead, you must update the system. On the right side of the inquiry row in your dashboard, click the 'Close' button (or change the status from 'New' to 'Closed'). This instantly removes the lead from the 'Open' pipeline.

Tip: Keep your Open pipeline at zero! A cluttered pipeline makes it easy to forget about new customers. Always close inquiries as soon as you have finished communicating with them.
5

Filtering and Tracking

At the top of the Inquiries page, you can use the quick-filter tabs to switch between 'Open' and 'Closed' inquiries. If you ever need to find an old lead, simply switch to the 'Closed' tab to review your historical pipeline.
